Storing Emergency and Medical Info in Flocknote

Whether you’re planning for a youth retreat, a church event, or simply want to update member information, you can do so with our Emergency Contacts and Allergies & Medical Conditions fields.

The Emergency Contacts and the Allergies & Medical Conditions fields are housed within the individual member profile. To access them, simply click on the Medical tab on the left-hand side of the member’s profile.

Emergency Contacts:

Heads of Household (and their spouses) are automatically set as Emergency Contacts for everyone in the household. Parents are also automatically listed as Emergency Contacts for all children.

Need a backup? You can add one additional Emergency Contact for each member. This extra contact doesn’t need to be part of your network, and adding them won’t create a profile.

Please note - a member will need to have a phone number on file to be considered as an Emergency Contact.

Allergies & Medical Conditions:

This section comprises two different subfields:

  • Food Allergies
  • Medical Conditions

Simply click on the orange carrot icon to enter allergy information and the red aid kit icon to enter medical information.

How to collect this info from your members:

As an Admin, you can collect your members' Emergency Contact and Allergy & Medical information by

  • Manually entering the info into their profiles
  • Requesting the member themselves enter it by using our "Ask the Member" tool

💎Flocknote Complete: Churches subscribed to Flocknote Complete can collect Emergency Contacts and Allergy & Medical Conditions info directly from a Signup or Family & Visitor Registration.

To add to Family & Visitor Registration:

As an Admin, you can add these fields to your Registration and Signup flow. To do that

  • Click the Member Info and/or the Children Info tabs
  • Select the profile fields: Emergency Contacts and Allergies & Medical Conditions

To add to a Signup:

  • Click the Additional Info tab within your Signup line item(s)
  • Click Add a new field underneath the additional info fields
  • Under From Profiles, select the field: Emergency Contacts
  • Again, click Add a new field underneath the additional info fields
  • Under From Profiles, select the field: Allergies & Medical Conditions

Helpful tip - both the Emergency Contacts field and the Allergies & Medical Conditions field have unique icons next to them, that are not able to be used on other profile fields in your network.

A Member’s View on Family & Visitor Registration:

Please note- Emergency contacts are considered a Household Shared field, so Emergency Contacts will only appear on the first child’s profile if you’re registering more than one child.

A Member’s View on a Signup:

A few helpful tips:

  • You can fully filter for Medical Info and Emergency Contacts. Learn more about that HERE. 

  • Emergency Contacts and Allergy & Medical Conditions work in all places that have reports, such as standalone network Reports, group Reports, and Signup Reports. Learn more about Reports HERE. 
    • If these fields have pertinent data in them, the Reports will show an indicator icon in the column.
    • Edits can be made directly on the member's profile from the Report
