Keep your member data up to date with the Ask the Member Tool
Sometimes your members join your network and for whatever reason, they don't provide all of their info (like their full name or cell number). Or perhaps you've imported a list of contacts in the past, but now you need to add more info like their address, allergies, etc. Now with the Ask the Member tool, prompting members to update their info is easier than ever! Send pre-formatted/customizable messages to your members right from their profile. No more chasing members after church to get their latest information. 🎉
Who can use the Ask the Member Tool?
- Super Admin: can request any individual member (even other admins) to fill out or update a specific piece(s) of contact information (email, phone.)
- Group Admin: can request any individual member (even other Group Admins and Note Senders) to fill out or update a piece(s) of contact information (email, phone), but only if they are in a group for which you are an admin.
đź’Ž With Flocknote Complete, you can request additional information, such as contact information, extended profile fields, Relationships, Sacramental info, and so much more!
How to use the Ask the Member Tool
- Click on the member's profile
- Click the three dots in the top right corner to request an update to the whole profile! You can also click the grey people icon to request a new or updated email or phone number.
OR if your network has Flocknote Complete, open the info tab and click the three dots (...) next to a profile field to request new data or an update. You’ll need to hover to make these appear.
- Next, select Request Info
- A box will pop up allowing you to add a custom note if you’d like. You can add hyperlinks, bullet points, numbered lists, and more!
- Hit the Green Preview button to view what the member would see and send it off when you’re ready!
Pro tip - if the member has both an email address and a cell phone number on file you will have the option to send the message as an email or as a text. However, you will be unable to add a custom note to a text message.
The member’s view
When a member receives the message to update their info, they can do so in just a few clicks! Here's a sneak peek of the email/text your members will receive! You, as the admin, will receive an email right in your inbox if your member replies directly to the info request. 👍
How to request info from multiple members
You can request information from multiple members all at once by using our Smart Button feature.
- Click on the Envelope icon to begin creating an email
Select the Pointer Finger icon to add a Smart Button to your note
- Scroll down and select Request Info
- You will be given the option to request that your members update their email address or their phone number
💎If you have Flocknote Complete, you can request additional information—like household status and any custom profile fields you've set up on your network!
- The text shown on the Smart Button will automatically change based on the information you're asking members to update. You can also customize this text to say whatever you'd like!
