Member Resource: What is a Proxy Contact?

This guide showcases features available only for those subscribed to our all-in-one software solution, Flocknote Complete. If you would like to learn more about these exciting features, click HERE. 🎉

Flocknote helps churches connect with families to keep them up to date on what is going on in their church's ministries, student groups, faith formation, special events, and more. With Proxy Contacts, the messages sent out to the groups your child or teen is a part of can be sent to you as well to help you stay informed! Check it out:

Jenna is in her church's First Communion Class. She doesn't have any contact information on file (she's just 7 years old, after all!) but her mom and dad are set up as her Proxy Contacts. Even though Jenna is the only one in her family subscribed to the First Communion group on the church's Flocknote network, whenever the class coordinators send out communications about the program to that group, the emails and text messages are sent to Jenna's mom and dad so they can stay up to date!

Diego participates in his church's Teen Youth Group. He has a cell phone (attached at his hip!) and an email address he mostly uses for school. While his parents listed both of these for Diego when registering for their church's Flocknote network, he isn't the most reliable when it comes to paying attention to details and passing them along to his parents. With Diego's mom listed as his Proxy Contact in Flocknote, whenever the Youth Minister sends out an email or text, Diego receives it but his mom does as well, so she can be sure they don't miss a thing!

Setting up Proxy Contacts through Family & Visitor Registration

If your church is using our Registration feature, you can now make yourself your child's proxy contacts when you add your family members through the registration process. After adding a child taking the steps to add a child, you will see a prompt that asks if the child has contact information.

  • If your child/teen does not have their own contact information:

You will automatically be listed as the Proxy Contact for this child. If you do not want to be their Proxy Contact, click "Add an email address or phone number for this person", leave the contact information fields blank, and uncheck the box for Proxy Contact beneath the contact fields.

  • If your child/teen does have their own contact information:

Click "Add an email address or phone number for this person" and enter in any contact information you want to share. (Flocknote is Safe Environment Compliant, learn more here.) Beneath their contact information, you have the option to check or uncheck a box to be this child/teen's Proxy Contact.

What if I want to add my spouse or another family member as another Proxy Contact for my child/teen?

To add someone other than yourself as your child/teen's Proxy Contact you will start by visiting your family's profile:

  1. At the end of the Family & Visitor Registration process, click My profile in the bottom left-hand corner. You can also always visit your member profile by clicking on the my info button in the bottom right-hand corner of any email you receive from Flocknote.

  2. Click the down caret in the top right-hand corner of your profile beside the name and icons for your Household.

  3. Hover over the child or teen you want to adjust the Proxy Contacts for and click the settings cogwheel icon that appears.
  4. Next, click on Manage Proxy Contacts.

  5. Use the pop-up menu to select or deselect existing family members as Proxy Contacts, or add an email address for someone outside the family with the blue Add someone else button.
