How Do I Export Contacts from the Note Analytics?

Sometimes it is necessary to extract contact information, for those who opened or did not open a note, from Note Analytics. Here is how to extract and filter your contacts from Note Analytics onto a spreadsheet.

  • First, begin by opening the note in which you would like to view and filter your Note Analytics onto a spreadsheet. 
  • Once you are in your note, select the percentage bar at the top right to access Note Analytics

  • Click the tab you would like to copy to a spreadsheet, then click and drag to highlight the page with the names and email addresses (or phone numbers). Copy the highlighted information (Right click + Copy).

  • Open a Google Spreadsheet or Excel file and Paste the information onto your spreadsheet.

NOTE: If there are multiple pages of names and email addresses (or phone numbers), copy and paste each page onto your spreadsheet.

*Please note: if you have any email addresses or phone numbers that do not have a name paired, please copy these pieces of contact information onto a new sheet to paste AFTER names and email addresses (or phone numbers) have been filtered. To open a new sheet, click the tab plus sign at the bottom of your spreadsheet:

  • Once you have all your names and email addresses (or phone numbers) pasted into your spreadsheet, you should have all the contacts listed in such a way that their name is listed at the top cell followed by the corresponding email address all the way down your row of contacts:

  • Highlight your column and select the Data button, then the Filter icon:

  • You should see a small dropdown arrow appear at the top of your list:

  • Click this filter (see below) to open up filter preferences. Select the dropdown “filter by” and choose “Contains”

  • In the next box, enter an “@” symbol to filter by all email addresses:

  • You will see all your email addresses are filtered.

  • Highlight these email addresses, then cut and paste into a brand NEW spreadsheet altogether:

  • When you paste into a completely new spreadsheet, you should see only email addresses appear.

  • Go back to your original sheet with the remaining names. Next, click the filter icon on the top of your cell and change your settings to reflect “filter by” > ”does NOT contain”> ”@”

  • Highlight your members' names, Cut that information from the sheet.
  • Go to your new spreadsheet with the email addresses you pasted in the earlier step. Paste your names into a column.

  • Adjust column size any make any changes to your spreadsheet. Don’t forget those email addresses (or phone numbers) that did not have names which you pasted into your other sheet page. Feel free to paste these onto your new complete list:

  • Now you have your complete filtered list from Note Analytics :)
