Using Custom Profile Fields to Track Member Info

You can create custom profile fields in Flocknote Complete. What is a custom profile field, you ask? It's a way for you to gather any type of info from your members and record it within Flocknote. This help guide will explain the basics of using custom profile fields and how you can use them to track member info at your Church!

Quick Tip! You can upload documents to a Custom Profile Field! This means that you can prompt members to upload forms and documents directly to their profile or from a Signup! You can also track documents on Reports and so much more! Click here for more details.

To manage your custom fields...

  1. Click on Household Database and select the grey settings cogwheel
  2. From there, select Profile Fields

A menu will appear where you can add or update existing Profile Fields:

  1. To create a custom field from scratch, select the type of field you'd like, which will be under the default fields (Text, Number, Address, Date, Select List, File Upload)

  1. Customize your settings for the profile field
    1. How many lines (if applicable)
    2. Who can view the field
    3. Who can edit the field
    4. If members will be asked this when they sign up for the group online or via Text-to-Join
    5. If the field is shared across multiple users. (Anniversary between spouses, address within a household)
    6. Have Flocknote keep this information up to date using Intelligent Info Gathering.
  2. Click Save in the lower right-hand corner, and you're set!

You can view the custom fields and edit them on the info tab within a member's profile. You'll be able to easily track all the important member data, as well as any data points you can think of! 😍

How to delete a Profile Field

Have a field you are no longer using? No worries - you can easily delete that field and its data in just a few clicks. Open up the group where that field was created, or if it was for the network, open up the Everyone group. From there, click the gray cogwheel in the top right-hand corner and select Profile Fields from the dropdown.

Next, click on the field you would like to delete from the left-hand side. In this case, we want to remove the "Purchased Bible" Profile Field. Once the field is selected, click the red trashcan icon (see below).

Last but not least, confirm that you would like to delete the field by clicking the Yes square, and you are all set! 👏
