Admin Levels Explained & How to Assign Them

🔐 There are 3 main levels of admin privileges within Flocknote. 

There are Super Admins, Group Admins, and Note Senders. You can have an unlimited number of each admin level. Each admin will log in separately and will see their differing levels of privilege reflected automatically when they log in (after those privileges have been assigned).

Main Admin Levels Explained

Super Admins 

Wield this power wisely -- Super Admins can do anything and everything on your network! They can see the contact info of all members and contact them individually or in bulk. Additionally, they can make changes to your network settings, add and remove groups, add and remove members from any groups, and make any other changes to all groups. They can see all replies (even private) for all notes. They also have the power to extend admin privileges, meaning they can make anyone on the network a fellow Super Admin, Group Admin, or Note Sender as needed. By default, all Super Admins have the ability to view and edit billing information for the network; these privileges cannot be turned off. Lastly, because of their elevated privileges and because admins can log in securely using their email address/phone number, their contact info can only be adjusted by them.

Group Admins 

Group Admins can see full names and contact info, manage members, send notes to individuals or the group as a whole, and change settings within their designated group (and only for that group). They can see all replies (even private) for notes sent within their group. They also have the ability to extend privileges, meaning they can make anyone from their group a fellow Group Admin or Note Sender (but only for that group). Lastly, because of their elevated privileges and because admins can log in securely using their email address/phone number, their contact info can only be adjusted by them.

Note Senders

Note Senders can create and send notes to the designated group as a whole, but cannot see any contact info, manage members, or change group settings. They can only see public replies to notes sent within their group. Because they cannot see the full names or contact info of members within the group, they cannot extend admin privileges or send messages to specific individuals. Lastly, because of their elevated privileges and because admins can log in securely using their email address/phone number, their contact info can only be adjusted by them.

(Regular Members)

Regular members are NOT admins. They cannot see anyone else's full name or contact info and cannot send outgoing messages; they can simply reply to messages sent to them. They can only see public replies to notes sent to groups they are a part of. Because they are not an admin, any other admin can adjust their contact info as needed.


How to Assign Admins

To make someone a Super Admin:
  1. Log in to Flocknote using your Super Admin login, and add or find the member on the People page in the Everyone group.
  2. Click the Super Admin button out to the right of their name until it's blue. Blue = ON
  3. That's it! To remove admin privileges, simply click that same button until it's white. White = OFF
To make someone a Group Admin or Note Sender:
  1. Log in to Flocknote using your Super Admin login, and add or find the member on the People page in the Group you'd like to make them an admin for.
  2. Click the Group Admin or Note Sender button out to the right of their name until it's blue. Blue = ON
  3. That's it! To remove admin privileges, simply click that same button until it's white. White = OFF.
  4. If you want someone to be an admin over multiple groups, you'll need to repeat this process for each group.


Additional Permissions

There are a few additional permissions that can be added to your member's profiles. These permissions are found within the "Info" tab of each member's profile. 


Viewing & Editing Billing Info

By default, all Super Admins can view and edit billing info; these permissions cannot be turned off. All other members (whether they are Group Admins, Note Senders, or regular members) can be manually given these permissions and/or have them removed. The main billing contact on file (the one who receives monthly invoices) is automatically set as the person who originally created the Flocknote network. If you need to change this billing contact on file or cc other admins on those monthly invoices, simply email us at help@flocknote.com and we'll take care of that on our end.

Inputting and Viewing Giving Data 

If your network has subscribed to Flocknote Complete you can also designate certain members to be able to input giving data for households or view all giving data for the network.

Note: Users who can "View all giving data" will be able to see all of the giving and contact information for donors.

By default when you upgrade to Flocknote Complete, all Super Admins will be given the ability to input giving data for households and view giving data for the network. These permissions can be removed on an admin-by-admin basis if needed. Moving forward, if any member is made a Super Admin they will be automatically given the ability to input giving data for households and view giving data for the network. (There is one exception: if the member happens to be made a Super Admin by a current Super Admin who has had either of these privileges removed, they will not receive that privilege by default, but it could be added manually by a Super Admin who does have that privilege.)

In addition, all Super Admins will be given all 4 of these additional online giving permissions (1) input giving data for households 2) view all giving data for the network 3) send notes with payments (4) Manage Signups with payments. These permissions can be removed on an admin-by-admin basis if needed. Moving forward, if any member is made a Super Admin they will be automatically given these online giving permissions.

(The same exception from above applies: if the member happens to be made a Super Admin by a current Super Admin who has had one of these privileges removed, they will not receive that privilege by default, but it could be added manually by a Super Admin who does have that privilege.)

Current Group Admins will only automatically have the ability to send notes with payments and the ability to manage Signups with payments; the added permissions for viewing & inputting giving data can be added, but they will need to be manually turned on.
